Hyland has launched Hyland for Microsoft Teams, an integration aimed at organisations in regulated industries that use OnBase or Nuxeo repositories.

The product lets employees search, view, manage, share and capture governed content within Microsoft Teams, without switching to a separate content management system. It connects Teams to supported OnBase and Nuxeo repositories, allowing documents to remain under existing governance and security controls.

The launch is intended to address a common problem for businesses that rely on Teams for day-to-day collaboration while storing records and documents in separate systems. That split can leave files scattered across chats, channels and repositories, making retention, version control and oversight harder to manage.

Users can search Hyland content directly from Teams chats and channels and work with documents inside the collaboration platform. They can also share links to repository content in Teams while keeping source files in the governed repository, rather than creating separate unmanaged copies.

The integration also allows content shared in Teams conversations to be imported into Hyland repositories for long-term management and retention. Content can also be linked to specific Teams conversations, making information easier to find later.

Administration is handled through the Hyland Content Innovation Cloud, where administrators configure the integration and obtain the Teams app package for deployment.

Governance focus

The launch is aimed at sectors where document handling involves compliance and audit requirements, including banking, insurance and human resources. In those settings, firms often need staff to collaborate quickly while keeping records within controlled systems.

Hyland gave several examples of how the integration could be used. In banking, staff preparing for customer meetings, resolving missing loan application documents or investigating suspected fraud could retrieve governed OnBase content from within Teams. In insurance, claims teams could import photos, estimates and reports shared in a claim channel into a claim document type, triggering the relevant workflow. In recruitment, HR teams could capture CVs and offer documents from a Teams channel into a governed HR document type instead of leaving them in chat threads or personal drives.

For existing OnBase or Nuxeo users, the integration is designed to extend those systems into Teams without requiring content migration, duplicate repositories or rebuilt workflows. That may appeal to organisations that want to expand use of their existing document and records systems rather than replace them.

"As work continues to move faster and more fluidly across platforms, our job is to make sure governed content moves with it, not around it," said Megan Caraballo, Director of Industry Solutions Product Management at Hyland. "Hyland for Microsoft Teams reflects our commitment to meeting employees inside the collaboration workspace they rely on every day, without asking organisations to compromise on governance to get there."

Microsoft also backed the launch with a partner endorsement. The integration reflects the growing importance of linking collaboration software with content and records management systems as companies try to limit uncontrolled document storage inside messaging tools.

"Microsoft Teams is where our customers collaborate and make decisions every day, and those decisions are only as good as the content behind them," said Jacquelyn Crowhurst, Chief Architect - Americas Enterprise Partner Solution at Microsoft. "Hyland for Microsoft Teams brings trusted, governed enterprise content into the flow of work, helping organisations move faster while keeping the controls their business requires."
